Privacy Policy

Last updated: September 21, 2026

This policy explains what data FloSchools holds, why, who can see it, and the choices available to schools and the people in them.

1. Who we are

FloSchools provides a school management platform. Each school that uses it is a separate customer with its own records, and the school — not FloSchools — decides what data is entered and who on its staff may see it. This policy explains what we do with that data on the school's behalf. Questions can be sent to floschoolsapp@gmail.com.

2. Information we collect

We hold the following, as entered or generated by the school:

  • Account data — a staff member's name, email address, role and the school they belong to. If you sign in with a third-party provider, we receive the basic identity information that provider shares.
  • Student records — names, class, enrolment details, and the school records attached to them: attendance, assessment marks, health and discipline notes, fee and payment records, and guardian contact details.
  • Usage data — technical logs such as sign-in times and errors, used to keep the service working and secure.

We do not collect student data ourselves. It is entered by the school or its staff, and the school is responsible for having the right to share it with us.

3. How we use it

Data is used to:

  • Provide the platform, showing records to the right people.
  • Produce reports and analytics the school asks for, including the AI assistant's answers about that school's own records.
  • Authenticate users and keep accounts secure.
  • Send notifications the school has enabled, such as absence alerts.
  • Diagnose faults and improve reliability.

We do not sell personal data, do not use it for advertising, and do not use school or student records to train general-purpose AI models.

4. Student data and children's privacy

Student records are provided by the school, which is responsible for obtaining any consent required from parents or guardians before entering them. Student data is visible only to staff at that school, according to the roles and permissions the school sets, and to FloSchools personnel who need it to operate and support the service. It is never shared with other schools or used for marketing.

5. Who can see it

Access is limited to the school's own staff, scoped by the role the school assigns, and to the small number of FloSchools personnel who support the platform. We also use service providers to run it:

  • Cloud hosting and database services that store the data.
  • Authentication providers used to sign users in.
  • Payment processors, for schools on a paid plan.
  • AI and messaging providers, when the school uses those features.

These providers process data only to deliver their part of the service. We do not disclose personal data to anyone else except where the law requires it.

6. AI features

The assistant answers questions by reading the asking school's own records, within the permissions of the person asking. Requests may be sent to a third-party model provider to generate a response. We do not send data from one school to another, and we do not permit data sent to model providers to be used for training general-purpose models.

7. Keeping it safe

Data is encrypted in transit and stored on access-controlled infrastructure. Access within FloSchools is limited to staff who need it to run the service. Schools should keep staff accounts current and remove access for people who leave, since the school controls who can sign in and what they can see.

8. How long we keep it

Records are kept for as long as the school's account is active. If a school closes its account, its data is deleted within 30 days, except where we are required to retain something longer for legal, tax or accounting purposes. Schools can export their data before closing.

9. Your rights

Schools, staff and guardians can ask to see, correct, or delete personal data held in the platform. Because the school is the data controller for the records it enters, requests about student data should normally go to the school first; we support schools in answering them. Where we hold data as a controller — such as a staff member's own account details — you can contact us directly at the address below.

10. Cookies

We use cookies that are necessary to keep you signed in and to remember your preferences. Details are set out in our Cookie Policy.

11. Changes to this policy

We may update this policy as the product changes. Material changes will be notified through the platform or by email before they take effect.
